Privacy Policy

1. Legal Framework

REKNDL Psychology complies with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), the Privacy Amendment (Private Sector) Act 2000, and the Victorian Health Records Act 2001. This Privacy Policy explains how your personal information is collected, used, stored, and shared across all services provided by REKNDL Psychology, including neurodivergent assessments, individual therapy, and relationship counselling.

2. Information Collected

REKNDL Psychology may collect and hold the following personal and health information:

  • Full legal name, preferred name, date of birth, residential address, and contact details

  • Emergency contact details

  • Medicare number and IRN (where applicable)

  • Private health fund details

  • GP and other treating clinician details

  • Medical, psychiatric, and psychological history, including medications, developmental history, social and family history, presenting concerns, reported experiences, and risk factors

  • Session notes, questionnaire responses, and correspondence

  • Information provided by your GP or other healthcare providers

  • Information provided by you or anyone else in relation to your health and personal circumstances

The following additional information may be collected for specific services:

  • Neurodivergent assessments: Assessment session notes, standardised questionnaire responses, collateral informant information, assessment scores, diagnostic impressions, and reports. Documents you provide (e.g., school reports, previous assessments).

  • Relationship counselling: Information is collected in relation to both partners. Each partner's information is held separately within the clinical record.


REKNDL Psychology only collects information that is relevant and necessary for your care and the lawful operations of the practice.


3. Purpose of Collection

Your information is collected primarily to provide you with psychological services, which may include neurodivergent assessment, individual therapy, or relationship counselling. It may also be used for directly related purposes including billing, Medicare and private health insurance claims, and professional development activities such as clinical supervision (with identifying details omitted where possible).

4. Anonymity

REKNDL Psychology does not provide services to clients who wish to remain anonymous or use a pseudonym or alias. Accurate personal details are required for clinical, legal, and billing purposes, including Medicare and mandatory reporting obligations.

5. Confidentiality and Its Limits

All information shared in the course of your engagement with REKNDL Psychology is treated as strictly confidential. Disclosure without your consent may occur only in the following circumstances:

  • Information is subpoenaed by a court of law

  • Disclosure is required to prevent a serious risk to life, health, or safety — yours or another person's

  • Mandatory reporting obligations apply under Victorian law (e.g., child protection reporting)

  • Clinical supervision — information shared is de-identified wherever possible, and supervisors are bound by the same confidentiality obligations

  • Disclosure is otherwise required or authorised by law

  • To establish, exercise, or defend a legal or equitable claim

  • For the purpose of dispute resolution

  • Debt recovery — limited to your name, contact details, and the nature of the outstanding debt

In all other circumstances, Bec will seek your written informed consent before disclosing any information to a third party.

6. Service-Specific Confidentiality Arrangements

Neurodivergent assessments — collateral informant information: Information provided by your collateral informant forms part of your assessment record. This information may be disclosed to you at Bec's clinical discretion in the context of discussing your assessment findings. Your collateral informant will be made aware that information they provide may be shared with you as part of the assessment process.

Neurodivergent assessments — assessment report: Your assessment report will only be shared with third parties with your explicit written consent, except where required by law. You are entitled to share your own report with any individual or organisation you choose.

Individual therapy — GP and treating clinicians: If you have been referred by a GP or other healthcare professional, REKNDL Psychology may provide them with information relevant to your engagement, presenting concerns, and treatment. If you do not want your referrer or other treating clinicians to receive this information, please advise Bec. Declining to share information with your GP may affect your eligibility for Medicare rebates.

Relationship counselling — no-secrets policy: Please refer to the No-Secrets Policy section of your consent form regarding the specific confidentiality arrangements that apply to information shared in individual sessions within couples therapy.

7. When Information May Be Shared

In addition to the circumstances outlined in Section 5, your information may also be shared:

  • With third-party software providers who process data on REKNDL Psychology's behalf (see Section 11), all of whom are required to comply with Australian Privacy Principles

  • With external debt collection agencies or VCAT, in the event of an unpaid debt

  • With Medicare or your private health insurer, for the purpose of processing rebate claims (where applicable)

  • With any person or organisation for whom you have provided Bec with written consent to communicate

If REKNDL Psychology receives information about you from another individual or organisation, this information and its source may be disclosed to you at Bec's discretion.

8. Storage and Security

Your personal information is stored securely in Cliniko, an Australian-based practice management platform. Access is restricted to Bec. Electronic records are protected by passwords and two-step verification where applicable.

Clinical and assessment records are retained for a minimum of 7 years from the date of your last engagement with REKNDL Psychology, in accordance with the Victorian Health Records Act 2001. Records may be retained beyond this timeframe where required by law or in connection with any foreseeable legal matter. After the applicable retention period, records will be securely deleted or destroyed.

Relationship counselling — session recordings: Where consent has been given for session recording, recordings are deleted promptly following the supervision session in which they are reviewed and are not retained as part of the clinical record.


9. Overseas Data Storage

REKNDL Psychology primarily stores personal information in Australia. In some circumstances, information may be processed or temporarily stored on servers located overseas, for example where practice management, email, or payment systems utilise international infrastructure. Where this occurs, Bec takes reasonable steps to ensure overseas providers maintain privacy and security standards consistent with Australian law.

10. Accessing and Correcting Your Information

You have the right to access the personal information held about you by REKNDL Psychology. Requests must be submitted in writing to
bec@rekndlco.com.au. REKNDL Psychology will endeavour to respond within 30 days. An administrative fee may apply, consistent with the Victorian Health Records Act 2001.

You may also request correction of any inaccurate or out-of-date information. REKNDL Psychology will take reasonable steps to update your records upon a valid request. REKNDL Psychology may decline access in limited circumstances as permitted by law, and will provide a written explanation if access is declined.

If an external agency requests information about you and claims to hold your consent, REKNDL Psychology may require you to personally provide signed written consent directly to the practice before any information is released.

Relationship counselling: Each partner has the right to access their own personal information. Neither partner has the right to access information recorded solely in relation to the other partner.


11. Third-Party Software Providers

REKNDL Psychology uses third-party platforms to support the delivery of services. These may include practice management, telehealth, payment processing, and psychological assessment platforms. All third-party providers used by REKNDL Psychology are required to maintain privacy and security standards consistent with Australian Privacy Principles. A list of current third-party platforms is available on request.

12. Website

The REKNDL Psychology website (
www.rekndlco.com.au) may use web analytics tools such as Google Analytics, which collect anonymised data about website usage. No personally identifying information is collected through these tools.

If you have a concern about how your personal information has been handled, please raise it with Bec in the first instance by emailing
