Privacy Policy

1. Legal Framework

REKNDL Psychology complies with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), the Privacy Amendment (Private Sector) Act 2000, and the Victorian Health Records Act 2001. This Privacy Policy explains how your personal information is collected, used, stored, and shared.

2. Information Collected

REKNDL Psychology may collect and hold the following personal and health information: Your full legal name, preferred name, date of birth, residential address, and contact details Emergency contact details Medicare number, IRN, and private health fund details GP and other treating clinician details Medical and psychological history, including medications, social history, family history, presenting concerns, reported experiences, and risk factors Session notes, questionnaire responses, and correspondence Information provided by your GP or other healthcare providers Information provided by you or anyone else in relation to your health and personal circumstances REKNDL Psychology only collects information that is relevant and necessary for your care and the lawful operations of the practice.

3. Purpose of Collection

Your information is collected primarily to provide you with psychological services. It may also be used for directly related purposes including billing, Medicare and private health insurance claims, and professional development activities such as clinical supervision (with identifying details omitted where possible).

4. Anonymity

Due to Medicare and legal reporting obligations, real names and personal details are required to access services.

5. Confidentiality and Its Limits

All information you share in the course of your sessions is treated as strictly confidential. Disclosure without your consent may occur only in the following circumstances:

  • Information is subpoenaed by a court of law

  • Disclosure is required to prevent a serious risk to life, health, or safety — yours or another person's

  • Mandatory reporting obligations apply under Victorian law (e.g., child protection reporting)

  • Clinical supervision — information shared is de-identified wherever possible, and supervisors are bound by the same confidentiality obligations

  • Disclosure is otherwise required or authorised by law

  • To establish, exercise, or defend a legal or equitable claim

  • For the purpose of dispute resolution Debt recovery — limited to your name, contact details, and the nature of the outstanding debt

In all other circumstances, Bec will seek your written informed consent before disclosing any information to a third party.

6. Sharing With Your GP and Other Treating Clinicians

If you have been referred by a GP or other healthcare professional, REKNDL Psychology may provide them with information relevant to your engagement, presenting concerns, and treatment. If you do not want your referrer or other treating clinicians to receive this information, please advise Bec. Declining to share information with your GP may affect your eligibility for Medicare rebates.

7. Information Provided by Third Parties

If REKNDL Psychology receives information about you from another individual or organisation, this information and its source may be disclosed to you at Bec's discretion.


8. When Information May Be Shared

In addition to the circumstances in Section 5, your information may also be shared: With third-party software providers who process data on REKNDL Psychology's behalf, all of whom comply with Australian Privacy Principles With external debt collection agencies or VCAT, in the event of an unpaid debt With any person or organisation for whom you have provided Bec with written consent to communicate.

9. Storage and Security

Your personal information is stored securely in Cliniko, an Australian-based practice management platform. Access is restricted to Bec. Electronic records are protected by passwords and two-step verification where applicable. Clinical records are retained for a minimum of 7 years from the date of your last engagement with REKNDL Psychology, in accordance with the Victorian Health Records Act 2001. Records may be retained beyond this timeframe where required by law or in connection with any foreseeable legal matter. After the applicable retention period, records will be securely deleted or destroyed.

10. Overseas Data Storage

REKNDL Psychology primarily stores personal information in Australia. In some circumstances, information may be processed or temporarily stored on servers located overseas. Where this occurs, Bec takes reasonable steps to ensure overseas providers maintain privacy and security standards consistent with Australian law.

11. Accessing and Correcting Your Information

You have the right to access the personal information held about you. Requests must be submitted in writing to bec@rekndlco.com.au. REKNDL Psychology will endeavour to respond within 30 days. An administrative fee may apply, consistent with the Victorian Health Records Act 2001. You may also request correction of any inaccurate or out-of-date information. REKNDL Psychology may decline access in limited circumstances as permitted by law, and will provide a written explanation if access is declined. If an external agency requests information about you and claims to hold your consent, REKNDL Psychology may require you to personally provide signed written consent directly to the practice before any information is released.

12. Website

The REKNDL Psychology website (www.rekndlco.com.au) may use web analytics tools such as Google Analytics, which collect anonymised data about website usage. No personally identifying information is collected through these tools.

13. Privacy Complaints If you have a concern about how your personal information has been handled, please raise it with Bec in the first instance by emailing bec@rekndlco.com.au. 15. Policy Review This Privacy Policy will be reviewed regularly and updated in accordance with any changes to legislation, technology, or practice. The current version will always be available at www.rekndlco.com.au.
